Provider invoice checklist

Use this checklist to make sure every invoice has what we need. A complete, compliant invoice means we can process and pay it quickly — usually without having to come back to you for more information.

Sending invoices to MyMoney

For plan-managed participants, send your invoice straight to us and we will check it, seek the participant’s approval where needed, and pay you from their NDIS funding. Email your invoice as a PDF to [email protected]. PDFs keep their formatting and can’t be accidentally changed.

Business & tax invoice details

Every NDIS invoice must be a valid tax invoice.

  • The words “Tax Invoice” clearly shown at the top
  • Your legal business or trading name and business address
  • A valid ABN (or a “Statement by a supplier” form if you are exempt from quoting an ABN)
  • Your NDIS provider registration number, if you are a registered provider
  • A phone number and email address so we can contact you about payment
  • A unique invoice number and the date the invoice was issued
  • Your payment details — BSB, account number and account name

Participant details

  • The participant’s full legal name
  • The participant’s NDIS number (participant reference number)
  • The invoice made out to the participant — not to a parent, guardian or plan manager

Support & service details

  • The NDIS support item reference number from the current NDIS Support Catalogue
  • A short, clear description of the support delivered
  • The actual date each support was delivered (one line per session — avoid date ranges)
  • The quantity (hours or units) delivered
  • Travel shown as a separate line item from service hours, if you are charging for it
  • No supports invoiced in advance — only after they have been delivered

Pricing & GST

  • A unit price for each line and a total for each line
  • Prices that stay within the NDIS Pricing Arrangements and Price Limits
  • The total amount payable
  • GST status shown — most NDIS supports are GST-free (show $0.00 where that applies)

Common reasons invoices are delayed

  • Missing or incorrect ABN, or a business name that doesn’t match ABN Lookup
  • Wrong or missing NDIS support item code, or a rate above the NDIS price limit
  • No date of service, or a date range instead of one line per session
  • Supports invoiced before they were delivered
  • Invoice sent as an editable Word or Excel file instead of a PDF
